Refund & cancellation policy
Rules for deposits, seat cancellations, rescheduling, and refunds on annotation clinics, labs, intensives, and private chart reviews.
Eligibility
Refund requests apply to fees paid directly to Cortex Helix Field Academy Limited for educational sessions listed on this site. Informational pricing pages are not invoices.
Timeframe
Cancel in writing to info@sense-mosaicpoint.click at least seven full days before the scheduled clinic start for a full refund of transferable tuition, minus any non-refundable deposit stated on your confirmation.
Full & partial refunds
Cancellations between seven and three days before the session may receive a fifty-percent tuition refund if your seat can be offered to the waitlist. Inside three days, tuition is generally non-refundable, though we may offer a one-time reschedule at our discretion.
Non-refundable items
Printed workbooks already produced for an intensive, custom chart packs prepared for a private review, and card-processing fees on completed refunds are non-refundable once work has started.
Deposits & no-shows
Seat deposits hold your place in Annotation Clinics. No-shows without notice forfeit the deposit and remaining tuition for that date. Arrive more than thirty minutes late and the instructor may refuse entry without refund if critique rounds have begun.
Rescheduling
One complimentary reschedule is allowed if requested at least five days ahead and an alternative date exists within eight weeks. Further changes may incur an administrative fee disclosed before confirmation.
Work already started
If a private review has begun markup on charts you submitted, fees for time already spent are deducted from any approved refund.
Process & timing
Email the booking reference, participant name, and reason. Approved refunds are returned to the original payment method within fourteen business days. Bank timelines may add several days thereafter.
